As a guide, our base fee is typically £450 per flat per year (ex VAT), apportioned by the service charge percentages in your lease. We’ll confirm the final fee having reviewed your building, lease and recent expenditure.

How your total annual fee is calculated

The fee has three parts

Base fee

Covers day-to-day management and administration.

Our average base fee is £450 per flat per year (ex VAT). It covers our core management services – financial, repairs and maintenance, legal and H&S compliance, admin and leaseholder relations, plus 24/7 support.

The base fee is apportioned by the service charge percentages in each lease.

2+

Set-up fee

One-off review to understand the building and priorities

We review your building’s layout, size, number of flats and any special lease, compliance or financial obligations. A fee is only applied if we need to clear historic arrears or outstanding accounts.

A set-up fee is only applied if we there are historical arrears, disputes or outstanding accounts.

3+

Optional services

Only if needed – always priced and agreed upfront. Examples include:

  • Company secretarial – from £350 + VAT OR Registered Office £150 plus VAT
  • Weekly testing of fire alarms – must be undertaken, £15/week with M2, or can be done by a resident or regular contractor, and registered.
  • Collection of ground rent – a fee of 10% of total ground rent per annum
  • Payroll management – for example, care-takers or concierges. Fees calculated on a case-by-case basis
Major works (Section 20) are by arrangement and typically 7.5–10% of project value.

Most people delay switching because the handover feels like a hassle. We run the handover for you, including records, contracts and set-up, so the building is properly managed from day one.

How is the service charge amount calculated?

Your percentage share of the annual budget as set by your lease. The annual budget includes forecast costs for maintenance, compliance, insurance, utilities and reserve provisions. The annual budget is calculated based on:

– prior year actual expenditure
– knowledge of required maintenance & statutory expenses
– inflation and supplier price changes

The draft budget is circulated to the Directors for review and approval before issuing service charge notices.

When and how often are service charge demands issued?

In line with the lease (commonly half-yearly or quarterly).

What factors can cause service charges to increase?

Supplier price changes and inflation, insurance reinstatement valuations and insurance claims, statutory compliance, planned repairs and maintenance, and planned major works. Increases are always agreed with Directors in advance.

Does our building have a reserve or sinking fund?

If the lease permits, yes. We prepare a 10 year capital expenditure plan and review lessee contributions with the Directors during the annual budgeting process.

Does M2 hold service charge funds in separate client bank accounts?

Yes. Each building has at least 1 separate bank account with interest accruing to the leaseholders; bank accounts are reconciled monthly and certified annually by independent accountants.

How frequently is financial reporting provided to Directors?

Monthly – including a cashbook and building inspection reports, plus year-end accounts.

What is the process for preparing annual service charge budgets?

The annual budget is calculated based on:

When are the year-end accounts prepared and distributed?

Service charge accounts are reviewed and certified by independent accountants appointed by the Directors annually.
